This document sets out what you are agreeing to when you submit a Tenant Passport through Estate-HQ. Please read it before submitting your information.
| Who will see my information | The letting agent who invited you to complete this form, and their authorised staff, will be able to view your Tenant Passport. Estate-HQ (UNIVERSALHOMEANDTECH LTD) stores your information securely as a data processor on behalf of the letting agent. |
| Why my information is being collected | The letting agent is collecting your information to assess your application, carry out Right to Rent checks as required by law, arrange referencing and credit checks if applicable, and prepare a tenancy agreement if your application is successful. |
| Right to Rent check | By submitting this form you consent to the letting agent using the information you provide to verify your Right to Rent in the United Kingdom as required by the Immigration Act 2014. You may be asked to share a Home Office online check code at gov.uk/prove-right-to-rent. |
| Referencing and credit checks | If the letting agent has indicated that a reference or credit check is required, you consent to your information being passed to a referencing or credit checking service for that purpose. The letting agent will confirm which service they use. |
| How long my data is kept | The letting agent determines how long your data is retained. Estate-HQ retains it for the letting agent's subscription period plus 90 days. You have the right to request deletion — contact the letting agent or [email protected]. |
| Your rights | You have rights under UK data protection law including access, correction, erasure, restriction, objection and portability. Contact the letting agent for most requests. For Estate-HQ technical matters contact [email protected]. You may also complain to the ICO at ico.org.uk. |
| Withdrawing consent | You may withdraw your consent at any time before a tenancy agreement is signed by contacting the letting agent. Withdrawing consent may mean your application cannot proceed. |
